The Conferences & Events Coordinator is a detail-oriented, organized, and energetic person. This role requires excellent interpersonal communication skills, the ability to prioritize between multiple competing tasks, and a “can-do” attitude. The ideal candidate would be both strategic and innovative, with the ability to be flexible. This position is based in our Washington, DC office and may be eligible for hybrid work.

Essential Functions:

Assist Senior Director of Conferences & Events with planning the CCCU portfolio of conferences and events, including but not limited to:

Coordinate logistical aspects of virtual, hybrid, and in-person meetings and events including hotel rooming lists, meeting room layouts, food and beverage, and audiovisual requirements.

Build event webpage(s) and event app(s) within the Cvent system and ensure the accuracy of all event details.

Ensure speaker and sponsor tasks (Headshot/logo, bios, descriptions, etc.) are complete and up to date leading up to events.

Communicate with speakers, attendees, and sponsors effectively and timely throughout the planning process.

Provide registration support by tracking speaker status and attendee status for all CCCU conferences and events, solving login issues or other online registration issues, issuing refunds, processing payments manually and sending confirmation receipts as necessary.

Review all meeting materials, such as agendas and attendee lists, ensuring that they are professional and appropriately reflect the organization’s standards, thus ensuring quality control.

Design and order CCCU swag items (lanyards, tablecloths, sponsor ribbons, name badges, etc.) for conferences and events.

Strategic planning for the direction of future events.

Develop and analyze post-conference survey data and create written reports.

Create weekly conference revenue, registration, and roster reports via the CCCU database (iMIS) for the President’s Office.

Update annual event reports to preserve CCCU historical event data records.

Support the Chief of Staff with the CCCU volunteer Commissioner program, including:

Administrative support for annual nomination and selection process.

Create regular communication with Commission liaisons.

Gather Commissioner contact Information and update IMIS database each July.

Serve as the primary backup point of contact for conferences and events in the absence of the Senior Director of Conferences & Events.

Required Education, Experience and Requirements:

A college degree, meeting and event planning experience, or an equivalent combination of education and experience is preferred.
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) is required.
Experience with iMIS database, Cvent, or WordPress is a bonus.
Flexibility to work extended hours, including evenings and weekends, and other irregular hours.
Travel as necessary, primarily to CCCU conferences and events.
Ability to lift up to 50 pounds.
